Medical Assistant Supervisor-Del Norte-Closes 7/23/2025
SUMMARY:
Coordinates medical activities within Clinical Section under the direction of the Clinic Manager in cooperation with the Ambulatory Operations Director (AOD) and Chief Clinical Officer (CCO) by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Level 1 : other duties may be assigned.
- Must be willing to learn more about the American Indian culture and attend at least one Cultural Presentation/ Training per year.
- Understand and comply with HIPAA and other regulations concerning client confidentiality.
- Greet clients in a courteous and friendly manner. Customer service skills to include listening closely to client, provide clear verbal communication, ability to empathize with client, and understanding of organizational protocol and guidelines.
- Identifies clients using at least two identifiers.
- Responsible for training of Medical Assistants at orientation and at staff meetings. Document all trainings.
- Monitors daily function of Medical Assistants to ensure appropriate clinical procedures are adhered to while building teamwork.
- Establishes work schedules and assigns support staff to duty stations to maximize efficient use of staff and office flow.
- Observes and assists Medical Assistants to ensure safe and ethical practices are applied, and to solve problems and demonstrate techniques.
- Responsible for equipment and supplies and conferring with Nurse Supervisor and Clinic Manager on justification of expenditures requested.
- Assists in the development, coordination, and implementation of programs in health education, and prevention.
- Assists in investigating and resolving Medical Assistant and client complaints. Must be able to deescalate client and/or employee interactions when needed.
- Performs medical assistant duties as needed.
- Implements clinic policies and procedures directly related to Medical Assistant personnel.
- Assists in the implementation and adheres to accreditation regulations and training requirements.
- Coordinates as assigned in the recall of clients for preventive care.
- Responsible for competency skills and performance reviews of Medical Assistants.
- Facilitates communication between Medical Assistant personnel and other sites/sections as required.
- Assists in the coordination of community activities; including but not limited to Head Start Screenings and participation in UIHS community functions as assigned.
- Attends meetings as assigned.
- Maintains a professional, organized, and clean working environment by following organizational policies, guidelines, and safety standards.
- Assists in the development of section policy, procedures, and quality improvement activities within UIHS as directed.
- Responsible for periodic review of charts for completion, accuracy, and compliance with appropriate standards for Medical Assistants.
- Performs all duties in accordance with the UIHS Mission, Vision, and Guiding Principles.
- Provides site coordination as needed in absence of Clinic Manager.
- Assist with PHP QIP year-end report verification.
Level 2 – In addition to the above-mentioned duties :
- Back-up vaccine coordinator for the clinic assigned to.
- Prepares agenda and leads Medical staff meetings.
- Be fully trained in Front Office Assistant duties.
- Prepare documents and independently completes chart reviews for PHP and AAAHC site reviews.
- Complete one (1) Quality Improvement project annually, using the AAAHC documentation tool, and develop reports to be presented at the Quality Improvement Committee meeting.
- Independently complete PHP QIP year-end report verification.
- Assists the Clinic Manger in developing and leading a table-top or experiential safety drill for medical based on a local disaster scenario.
SUPERVISORY RESPONSIBILITIES:
- Directly supervises Medical Assistants.
- Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Carries out medical clinic coordination and day-to day operations of medical clinic in cooperation with Front Office, Clinical Nurse Supervisor, Ambulatory Operations Director, and Chief Clinical Officer.
- Responsibilities include:
- Interviewing, hiring, and training of Medical Assistants.
- Assisting with planning, assigning, and directing workflow.
- Providing performance evaluations, rewarding, and disciplining, addressing complaints, and resolving problems for Medical Assistants.

EDUCATION/EXPERIENCE: Educational degrees must be from a US Department of Education accredited school.
Level 1
- High School diploma or equivalent.
- Must have a Medical Assisting Certificate and maintain it.
- Must have at least four (4) years’ experience as a Medical Assistant in a clinic setting.
- Prefer to have at least two (2) years’ experience in a supervisory position.
Level 2
- Must have a Medical Assisting Certificate and maintain it.
- Must have six (6) years of medical assisting experience in a clinic setting.
- Must have four (4) years of medical assisting supervisor experience in a clinical setting.
- Possess a Sterile Processing Technician certificate.
- Has completed the following ICS training:
- IS – 700.B Introduction to NIMS
- ICS – 100 Introduction to the Incident Command System
- ICS – 200 Basic Incident Command System for Initial Response
- IS – 800 National Response Framework
- IS – 706 NIMS Interstate Mutual Aid
- IS – 2200 Basic Emergency Operations Center Functions
COMPUTER OPERATIONS
- Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
- Must be able to learn an Electronic Health Records (EHR) system.
- Experience with electronic health records (EHR) preferred.
